Arrears Policy & Hardship Fund
Arrears Policy
This page outlines what action the Club may take if a swimmers subscriptions have fallen behind.
The responsibility for ensuring that subs are up to date lies with the parent/carer.
-
Remember that we have a hardship fund that may be accessed if the family contact the Treasurer or Chair in confidence. This means that we may adjust fees for an agreed short time if that is what it takes to keep a child swimming, maybe at a time of domestic upheaval, for instance
-
We may also suspend subs if a swimmer is unable to swim due to illness i.e. broken limb, etc providing that the family contact us to let us know
-
We will not be able to offer either of these options if the family does not contact us
Current bye-laws state subs are due on the first Thurs of month and that if subs are in arrears by 2 months we may give the place(s) away to someone on the waiting list.
In the meantime, the table below shows what action the Club may take during this time.
Timetable:
-
If subs are not paid by the end of the second session of the month, a reminder letter is sent to the home address, requiring payment by the start of the third session or the place may be given away
-
If subs are not paid by the end of the fourth session, another reminder is preferably handed to the parents/carers, stating that if no payment is received by the start of the following session, the place may be given away
-
If subs then go into arrears into a second month, we send a final letter stating that the place will be filled before the next session unless the arrears are cleared by the start of the following session
-
The responsibility for contact is on the parent or carer to contact the Club
-
We may request payment in advance for subs that are often in arrears, in order to save Club time in repeating this process
-
If subs are in arrears at any time during this 'timetable', the Teachers may refuse to teach a swimmer.
-
Please do not put our volunteer Teachers in this position - they are unpaid and in most cases, pay subs for their own children or grandchildren to swim with the Club
